AMING LIMITED trading as AMING HOSPITALITY.

What we collect

AMING HOSPITALITY collects information needed to respond to enquiries, process online purchases and manage equipment supply. This may include your name, email, phone number, optional company name, products and quantities, billing and delivery details, site-access requirements, requested services and correspondence. We retain relevant application, order, payment-status, quote, invoice, delivery, authorized-collection and service records. Card details are processed through the secure checkout payment provider, not our enquiry forms or locally stored cart lists. Do not send card numbers, passwords or unrelated sensitive information through our forms.

Why we use it

We use your information to answer enquiries, process orders and payments, review payment risk, reconcile receipts, check stock availability, calculate freight, prepare quotes and invoices, arrange agreed deliveries or pickup, manage warranty and complaints, maintain records, prevent misuse and comply with legal obligations. Contact name and email are required for an enquiry; accurate delivery information is needed for a freight quote. Without necessary information, we may be unable to provide that part of the service. An enquiry or purchase does not automatically subscribe you to marketing.

Who may receive it

Relevant information may be provided to the supplier supplying the requested equipment, freight carriers, agreed installers or repair agents, and professional advisers where necessary. Shopify hosts our catalogue, cart, checkout and order records and processes contact forms; the enabled payment provider processes payment information and risk checks. Our email service receives enquiry and application messages. MYOB may be used for accounting or invoicing where applicable. We share only information relevant to the requested service or a lawful purpose. We do not sell enquiry contact lists.

Cookies, browser storage and overseas processing

The Quote List and cart recovery feature store product identifiers and quantities in your browser so you can continue browsing or restore items after a separate pickup checkout. They do not store the contact or address fields you enter in our delivery form. Cart recovery data is removed after recovery; you can clear the Quote List or browser storage. Delivery submissions use a reference and a one-way comparison value in browser session storage to recognize retries; this record is cleared after the successful acknowledgement or when that browser session ends. Shopify and necessary service providers may use cookies and technical information to operate, secure and maintain the website. Where optional analytics or marketing tools are enabled, the website's consent controls and applicable notices explain those choices. Service providers may process information outside New Zealand. We take reasonable steps required by the Privacy Act 2020 for those arrangements; a provider processing information solely on our behalf may have a different legal status from an independent overseas recipient.

Security and retention

We use reasonable access controls and safeguards appropriate to the information. Enquiries and business records are retained only for as long as reasonably needed for their purpose, legal record-keeping, legitimate follow-up or resolving disputes, then deleted or de-identified where appropriate. No website or email system can be guaranteed completely secure. If a privacy breach occurs, we will assess it and notify affected people and the Privacy Commissioner where legally required.

Access, corrections and concerns

You may ask to access or correct personal information we hold about you. We may need reasonable identity checks and will respond within applicable legal timeframes. Any material changes to this policy will be published with an updated effective date.
